Configuring the transmitter vendor record

How to ensure proper configuration of a transmitter vendor record.

You submit 1099 data to the IRS electronically. Voyager creates the file you submit. You must have a transmitter vendor record for your organization to submit the file.

The following chart shows the steps related to electronic submission.

To configure the transmitter vendor record

  1. Navigate to the Payee screen for the transmitter:

    • GL Manager: Accounting > Review Payers.

    • Voyager 8 Residential or CRM IQ: More > Payables > Review Vendor/Payee.

    • Voyager 8 Commercial: Accounting > Payables > Vendor > Review Vendor.

    The Payee filter appears.

  2. Complete the filter and click Search. A list of vendors appears.

  3. Select the transmitter vendor record. The Vendor Info screen appears.

  4. Ensure that the following fields on the Vendor Info tab are completed as described.

    Company: Name associated with the Taxpayer Identification Number, if transmitter is a company.

    CAUTION: For transmitter vendor records, the name associated with the Taxpayer Identification Number must appear in the Company or Name field on the Vendor Info tab. You cannot use the Name field on the Tax Info tab.

    Name: Name associated with the Taxpayer Identification Number, if transmitter is an individual.

    CAUTION: For transmitter vendor records, the name associated with the Taxpayer Identification Number must appear in the Company or Name field on the Vendor Info tab. You cannot use the Name field on the Tax Info tab.

    Contact: Person responsible for communicating with the IRS about 1099 transmissions.

    Address, City, State-Zip, Country: Address for IRS correspondence.

    E-mail: Contact email address.

  5. Ensure that the first (top) field in the Telephone section of the Vendor Info tab contains the contact phone number, with area code.

  6. Ensure that the Memo field in the Checks section contains the Transmitter Control Code (TCC) provided by the IRS.

  7. Ensure that the following fields on the Tax Info tab are completed as described.

    Gets: None

    I.D.: Taxpayer Identification number. For an organization, an Employer Identification Number, formatted ##-#######, including the hyphen. For an individual, a Social Security number or Individual Taxpayer Identification Number, formatted ###-##-####, including the hyphens.

    Name: Empty

  8. If you changed anything, click Save.
