Vendor 1099-NEC/MISC Electronic Recipient Statement

You generate electronic 1099-NEC and 1099-MISC Copy B forms to vendor recipients who opt in, and send these files to online portals. This article explains how to process electronic recipient statements and send email notifications.

Step 6: Processing electronic recipient statements and notifying recipients

You perform these procedures twice: once for 1099-MISC forms and once for 1099-NEC forms.

NOTE: You must set a permission and load a package before you can use this feature. For more information, see Voyager setup for electronic submission of 1099 forms to recipients.

To process electronic recipient statements

  1. In the 1099 NEC/MISC - Recipient: Vendor section, select the option for the appropriate 1099 payer:

    NOTE: You cannot use electronic recipient statements if the payer is By Bank.

    The Electronic Recipient Statement filter appears. The filter varies slightly for each payer type. The following graphic shows the filter for the management company payer, but the table also describes the filters for the owner payer.

  2. Complete the filter.

    Choose Tax Form: MISC or NEC. Perform this procedure separately for each form type.

    Property: Limits processing to one or more properties or property lists.

    Recipient-Vendor: Limits processing to one or more vendors.

    Group by Vendor Company: Limits processing to an alphanumeric range (0-9, A–D, E–H, I–L, M–P, Q–T, U–Z) of the Company field on the Vendor screen. If you want to process all records, select nothing.

    Minimum $ Amount: Minimum amount for which the IRS requires 1099 filing.

    1099 Year: Four-digit tax year.

    Payer-Management Company: Limits processing to specified management company. Appears only if payer is management company.

    Payer-Owner: Limits processing to specified owners. Appears only if payer is one or more owners.

    Report Display: Copy B is only option.

    Mask Taxpayer Id (CopyB): Whether the report masks all but the last four digits of the Taxpayer Identification Number on Copy B for the payer, payee, neither, or both.

    Sort By: If the payer is owner, you can choose whether to sort by Payer-Owner or Recipient-Vendor. This field does not apply if the payer is management company.

    Populate Recipient Acct #: Adds the Code from the Vendor screen to the Account Number field on the 1099 form.

    Corrected File: Selects the CORRECTED box on 1099 forms. Select this checkbox only when generating corrected forms, and complete the Recipient-Vendor field to limit output to forms you have determined require correction.

    NOTE: You cannot send the same form for the same year more than one time unless you select Corrected File.

  3. Select Preview. A list of electronic 1099-B recipients appears, with data.

  4. Review the preview. If you find an error, stop processing and fix the data in the database.

  5. When the preview appears correct, select Generate. A task number appears.

To send the email notification

  1. On the Electronic Recipient Statement screen, select the Task History tab.

    NOTE: The preceding procedure explains how to reach the Electronic Recipient Statement screen.

  2. Complete the filter.

  3. Select Display. Voyager displays a list of tasks that meet the filter criteria.

  4. On the right end of the row for the task for which you want to send the notification, select the Act

    NOTE: A task number appears after you select Generate at the end of the preceding procedure. The email notification uses the “E1099Notification” email template. The Actions dropdown does not appear after email notification has been sent.

  5. Click OK. A confirmation message appears.ions dropdown and then select Send Email. An alert appears.

To view a list of sent emails or log of failed emails

  1. In the 1099 NEC/MISC - Recipient: Vendor section, select the option for the appropriate 1099 payer:

    Payer: Owner > Step 6 of 8 - Generate Electronic Recipient Statement

    The Electronic Recipient Statement filter appears, as shown in a graphic above.

  2. Select the Email History tab.

  3. Select the task number for the emails you want to review.

  4. If you want to view a specific email, select the Preview button at the right end of a row.

  5. If you want to view email messages that did not reach the recipient, select Log.
