Add or edit a lease proposal

You can add and edit lease proposals from a resident record or the Renewals dashboard.

A lease proposal is a renewal option that a resident can select when their lease expires. This proposal includes a proposed monthly rent amount, as well as any lease charges or leasing specials for a specific lease term. You can add and edit lease proposals from a resident record or the Renewals dashboard.

Your ability to add or edit lease proposals depends on your configured Voyager user permission. For details, see Lease renewals setup.

Add a lease proposal

You can add a lease proposal from either the resident record or the Renewals dashboard. When adding a lease proposal, the current lease charges appear so you can adjust them for the new term. You must save the proposal before adding new lease charges or unit specials.

How to do it

From the resident record:

  1. If the product is Voyager 8 or CRM IQ, open the resident record. You can use Global Search to find the resident.

  2. On the resident record side menu, select General > Manage.

  3. Click Renew Lease. The Add Proposal panel opens, showing current lease charges.

  4. Complete the required fields. For field descriptions, see the “Review/Edit Proposal screen reference” below.

    1. Set the lease terms.

    2. Update charge amounts as needed.

    3. To remove a charge from the new proposal, select Exclude next to that charge.

    4. Click Save.

From the Renewals dashboard:

  1. Open the Renewals dashboard:

    1. If the product is Voyager 8 or CRM IQ: From the top menu, select Residents > Renewals.

  2. Select a dashboard view that displays leases with no proposals:

    1. Select the Manage Proposals tab.

    2. Click in the Expiring Leases or MTM Rate End tile and set the view to No Proposals.

  3. Click the desired timeframe category to update the grid with residents who have no proposals.

  4. In the Next Step column, click Generate Proposal for the resident you want to renew. The Add Proposal panel opens, showing current lease charges.

  5. Complete the required fields. For field descriptions, see the “Edit Proposal screen reference” below.

    1. Set the lease terms.

    2. Update charge amounts as needed.

    3. To remove a charge from the new proposal, select Exclude next to that charge.

    4. Click Save.

Review or edit a lease proposal

After you add a lease proposal, you can review and edit the proposal options from the resident record or Renewals dashboard. Edits include updating lease terms, modifying charges, or adding unit specials.

Your access to editing options depends on your Voyager 8 user permissions.

How to do it

From the resident record:

  1. If the product is Voyager 8 or CRM IQ, open the resident record. You can use Global Search to find the resident.

  2. On the resident record side menu, select General > Lease Info.

  3. Select the Lease Renewal tab to view proposal options.

  4. In the proposal row you want to edit, click Details. The Review/Edit Proposal panel opens.

  5. In the Lease Charges section, update lease terms and charges, as needed. For field reference, refer to the “Review/Edit screen reference” below.

  6. To add a new charge:

    1. Click Add Charge. The Add Charge screen appears.

    2. Enter the charge code, dates, and amount.

    3. Click Save.

  7. To add a unit special:

    1. Click Add Special. The Unit Special screen appears showing the available specials.

    2. Click Select next to the special you want to add. The special is added to the lease charges.

  8. To exclude a lease charge, select Exclude next to it.

  9. Click Save.

From the Renewals dashboard:

  1. Open the Renewals dashboard:

    1. If the product is Voyager 8 or CRM IQ: From the top menu, select Residents > Renewals.

  2. Select the Manage Proposals tab.

  3. Click a tile category with proposals to edit. For example, Pending Approval in Proposals by Status. The dashboard grid updates for the view selected…

  4. In the Next Step column, click Edit Proposals in the row of the resident whose proposals you want to edit. The proposal batch details expand, revealing each proposal option for that lease.

  5. In the proposal option row, click Details

    . The Review/Edit Proposal panel opens.

  6. In the Lease Charges section, update lease terms and charges, as needed. For field reference, refer to the “Review/Edit screen reference” below.

  7. To add a new charge:

    1. Click Add Charge. The Add Charge screen appears.

    2. Enter the charge code, dates, and amount.

    3. Click Save.

  8. To add a unit special:

    1. Click Add Special. The Unit Special screen appears showing the available specials.

    2. Click Select next to the special you want to add. The special is added to the lease charges.

  9. To exclude a lease charge, select Exclude next to it.

  10. Click Save. You return to the dashboard grid.

  11. In the Next Step column, click Close Edits.

Edit multiple lease proposals from the Renewals dashboard

When editing proposals in the Renewals dashboard grid, you can use the Add/Edit Charges, Add Special, and Edit Lease Dates buttons in the action bar above the proposal options grid to apply updates to multiple proposal options at the same time.

How to do it

  1. Open the Renewals dashboard:

    1. If the product is Voyager 8 or CRM IQ: From the top menu, select Residents > Renewals.

  2. Select the Manage Proposals tab.

  3. Click a tile category with proposals to edit. For example, Pending Approval in Proposals by Status. The dashboard grid updates for the selected view.

  4. In the Next Step column, click Edit Proposals in the row of the resident whose proposals you want to edit. The proposal batch details expand, revealing each proposal option for that lease.

  5. Clear checkboxes for any proposal options you want to exclude from updates.

  6. To add or edit lease charges:

    1. In the proposal details section, click Add/Edit Charges. The Add/Edit Charge screen appears:

    2. On the Add Charge tab, enter the charge code and charge amount.

    3. On the Edit Charge tab, enter the charge code, value, and amount type: $Increase, % Increase or New Amount.

    4. Click Save.

  7. To add a unit special:

    1. In the proposal details section, click Add Special. The Unit Special screen appears showing the available specials.

    2. Click Select next to the special you want to add. The special is added to the lease charges.

  8. To edit lease dates:

    1. In the proposal details section, Click Edit Lease Dates. The field changes to Adjust.

    2. In the Adjust field, choose the update type: Dates or By Days.

    3. If By Days, the Adjust field changes to Adjustment, and a Days field appears. Enter the number of days to adjust and click Adjust.

    4. If Dates, set the From Date for each proposal option directly in the grid.

    5. Click Save. A confirmation message appears and the updates are reflected in the grid.

  9. In the Next Step column, click Close Edit. The proposal details section collapses and returns to the dashboard grid..

You can also use the Edit All function in the Renewals dashboard to update proposals in bulk for multiple residents.

Next Step

After adding or editing a lease proposal, the next step is to review and decide whether to approve or deny it. You can open the proposal from the resident record or Renewals dashboard to confirm that the lease terms, charges, and specials are accurate before making your decision. Review/Edit Proposal screen reference

Field

Description

From

Date on which the proposed new lease begins. By default, this is one day after current lease expires if it is active, or today’s date if it has expired.

Min Term (months)

Minimum lease term in months.

Max Term (months)

Maximum lease term in months.

Lease To

Date on which the lease expires.

NOTE Voyager completes this field based on the option specified in the Rounding Lease Term field on the Property Setup screen.

Agent

The leasing agent who added the proposal.

NOTE In Voyager, the options in this field are specified on the Leasing Agents screen.

Lease Charge Code

The Voyager lease charge code.

Current Amount

(This field is read-only)

Amount of the lease charge on the current lease.

Charge Begin

The date on which the charge starts.

Charge End

The date on which the charge ends.

% or $ Change

Specifies the increase amount and method used to calculate the new lease charge amount:

$ Increase Adjusts the lease charge by a flat amount.

% Increase Adjusts the lease charge by a percentage.

New Amount

New charge amount for the proposal.

NOTE If you complete the Increase Amount field, this field is automatically calculated.
