Create a lease proposal batch from the Renewals dashboard

Use the Create Proposal Batch function to generate multiple lease renewal proposals for expiring leases or month-to-month (MTM) leases identified in the Renewals dashboard.

To include residents in Notice status when generating proposal batches, select Include Notice at the top of the Renewals dashboard.

From the dashboard, you can filter for residents whose leases are expiring soon or who currently have no renewal proposals. This helps leasing staff efficiently prepare and manage proposal batches for multiple units in a single process, saving time and reducing the risk of missed renewals.

Once the batch is created, it can be reviewed, adjusted, and posted from the Manage Proposals tab.

How to do it

  1. Open the Renewals dashboard:

    1. If the product is CRM IQ or Voyager 8: From the top menu, select Residents > Renewals.

  2. Select the Manage Proposals tab.

  3. Identify leases without proposals. In either tile, select a category:

    1. Expiring Leases, then filter by No Proposals, or

    2. MTM Rate End, then filter by No Proposals.

  4. In the grid, select one or more residents for whom you want to create a proposal.

  5. Click Create Proposal Batch. The Create Lease Proposal Batch screen opens.

  6. Complete the screen. For field descriptions, see the “Create Lease Proposal Batch screen reference” below.

  7. Click Save. The lease proposal batch is created and ready for review before posting.

Next Step

Unposted lease proposal batches appear in the Renewals dashboard under the Manage Proposals tab, within the Proposals by Status tile under the Unposted category. Property staff can review the proposal options for each resident within the batch and post the selected proposals to prepare them for approval.

Create Proposal Batch button is not visible

  • Confirm you are on the Manage Proposals tab.

  • Verify that you are viewing either the Expiring Leases tile or the MTM Rate End tile with the No Proposals filter selected.

  • Clear any restrictive filters or saved views that may limit results in the grid.

Cannot find a proposal batch after creation

  • Check the Proposals by Status tile on the Manage Proposals tab.

  • Review the logical next status. Newly created batches typically appear under Unposted.

  • Use available search or filter options, such as date range or batch description, to locate the batch.

Unit Type

Unit types to include in the proposal batch. Leave blank to include all.

Units

Specific unit numbers to include in the proposal batch; leave blank for all.

Resident (Current & Notice Only)

(Defaults the selected residents from the Renewals dashboard grid.)

Residents in Current and Notice status to include in the proposal batch. Additional residents can be selected.

NOTE Notice residents are included only when the Include Notice setting is selected on the Renewals dashboard.

Rounding

How calculated rent charges are rounded. Options are: None or Dollar.

Proposal Exp. Date

Expiration date that appears on proposals in this batch.

Month to Month

Indicates whether to include month-to-month leases. Options are: Include or Exclude.

Update rentable items to market rent

Indicates whether to update rentable items to their market rent.

Proposal Offer Details - Option

Proposal option number.

Proposal Offer Details - Min Term

Minimum lease term in months.

Proposal Offer Details - Max Term

Maximum lease term in months.

Proposal Offer Details - Base

Basis for the rent amount. Options are: Market, Actual, Loss to Lease.

Proposal Offer Details - Charge Amount

Amount of the increase to apply, based on the selected Increase Type.

Proposal Offer Details - Increase Type

Type of increase. Options are: $Increase or %Increase.

Proposal Offer Details - Max Increase

Cap on the increase for this option.

Proposal Offer Details - Special

Indicates whether to include a unit special with this option.
