After lease renewal proposals have been approved, residents receive an email notification that their renewal offers are available. Residents can view and accept one renewal offer in the Resident Portal, while leasing staff can select or deny a proposal for a resident from the Renewals dashboard or resident record in Voyager 8 or CRM IQ.
Only one proposal can be selected per renewal cycle. When a proposal is selected, leasing staff can proceed to the Manage Lease workflow to finalize and execute the lease agreement. Other proposals for that lease are automatically marked as Inactive and removed from view on the resident record. Denied proposals are flagged as Denied and also removed from view.
Select a renewal proposal in Resident Portal
This procedure is intended for property management users who want to preview the Resident Portal from Voyager 8 or CRM IQ and demonstrate how residents can select and accept a renewal proposal.
Residents can select one renewal proposal from the offers listed on the Lease Info screen in Resident Portal.
How to do it
Open the resident record:
If the product is Voyager 8 or CRM IQ, use Global search the resident.
On the Overview screen, in the Customer Information section, select Preview RentCafe Account. The Resident Portal dashboard opens to the Home page.
From the side menu, go to Lease > Lease Info. The Lease Renewal page displays available proposal offers.
The resident selects their preferred lease term and clicks Submit Lease Renewal. The renewal lease document is generated and appears under Action Required for signature.
Only residents can perform the selection and signature steps in the Resident Portal.
Select or deny a renewal proposal from the resident record
Leasing agents can select one renewal proposal on behalf of the resident directly from the resident record. This option is typically used when assisting residents who cannot access or complete the renewal through Resident Portal.
How to do it
Open the resident record:
If the product is Voyager 8 or CRM IQ, use Global search find the resident.
From the side menu, select General > Lease Info.
Select the Lease Renewal tab.
In the Available Actions column, choose an action and click Yes to confirm:
Select to choose a lease proposal. The Available Actions column updates to Manage
Deny to reject the lease proposal. The proposal is flagged as Denied and removed from view.
Select or deny a renewal proposal from the Renewals dashboard
Leasing agents can also select a renewal proposal for a resident directly from the Renewals dashboard.
How to do it
Open the Renewals dashboard:
If the product is Voyager 8 or CRM IQ: From the top menu, select Residents > Renewals.
Select a dashboard view that displays proposals pending selection:
From the Manage Proposals tab, in the Proposals by Status tile, select Pending Selection, or
From the Manage Customers tab, in the Pending Proposal Selection tile, select the desired timeframe category.
In the Next Step column, click View Selections in the row for the lease you want to manage. The proposal batch expands to show each available proposal option.
In the Available Actions column, choose an action and click Yes to confirm:
Select to choose a lease proposal. The Available Actions column updates to Manage
Deny to reject the lease proposal. The proposal is flagged as Denied and removed from view.
Users with the appropriate permissions can also delete a previously approved proposal from the Renewals dashboard.
Next Step
Once a proposal is selected, a notification is sent to the property manager, and leasing staff can proceed with the Manage Lease workflow from the resident record or the Renewals dashboard. From there, staff can review and verify lease details, prepare and generate lease documents, send the lease for signature, and complete the renewal process.
