Use the Generate Correspondence function in the Renewals Dashboard to send renewal letter offers to residents with approved proposals. When launched from the dashboard, this option opens the Residential Correspondence screen prefilled with the Renewal Letter category, Resident Renewal Letter report type, property, and the residents in the grid.
The Residential Correspondence screen is also available as a separate report used for other types of resident communication.
How to do it
Open the Renewals dashboard:
If the product is Voyager 8 or CRM IQ: From the top menu, select Residents > Renewals.
Select proposals eligible for correspondence:
Click the Manage Proposals tab.
In the Proposals by Status tile, select Pending Selection. The grid displays residents with approved proposals awaiting selection.
Select residents to include in correspondence:
To select all residents, select the checkbox in the grid column header.
To select individual residents, select the checkbox next to their name.
Click Generate Correspondence. The Residential Correspondence screen opens, prefilled with the selected residents, property, and default correspondence setup.
Complete the correspondence details:
In the Resident Filter section, confirm or update the filters. The Resident field already lists the selected residents, but you can add more, if needed.
In the Create/Email Documents section, verify or adjust the correspondence options for the renewal letters.
Review and send correspondence:
Click Display to preview the correspondence.
Click Generate Documents to create the letters.
Click Email Documents to send the letters directly to the residents.
