The Amenities tab displays amenity reservations at different steps in the amenity reservation workflow as well as pending cancellations, blockouts, and a calendar view of today's reservations and blockouts at the property. An amenity reservation is a scheduled day and time when a property's communal amenity is reserved for an individual. From the Amenities tab, you can perform actions on amenity reservations that are pending the next steps in the amenity reservation workflow. You can also add new amenity reservations for residents, applicants, and non-residents and block out amenities to prevent others from reserving them at specific times or on a recurring schedule.

Amenities tiles

Four tiles appear at the top of the Amenities tab:

  • Amenity Reservation Steps

  • Pending Cancellations

  • Blockouts

  • Calendar

You can click on a data point within these tiles to update the information displayed in the grid at the bottom of the dashboard.

Note: The Amenity Reservation Steps tile shows amenity reservations that require action to advance to the next step in the amenity reservation workflow. Amenity reservations in Confirmed status are not included.

Amenity Reservation Steps

Pending Agreement Reservations pending acceptance of the Rules & Agreement for reserving the amenity.

Pending Approval Amenity reservations that require approval.

Pending Payments Amenity reservations that require payment.

Pending Confirmation Amenity reservations that require confirmation of payment.

Pending Completion Amenity reservations that are ready to be marked complete.

Pending Cancellation

Amenity reservations that have issues or exceptions that require further actions.

Blockouts

Reserved days and times when amenities are unavailable for resident reservations.

Calendar

Calendar of scheduled amenity reservations and blockouts at the property. By default, the Calendar tile displays today's events in the Schedule view. The Day, Week, and Month views show past and upcoming reservations outside of the current day's schedule.

The Full-screen Expand button or the Half-screen Expand button expands the calendar view to see more details about upcoming reservations across a larger part of the screen.

Amenities grid

The Amenities dashboard grid dynamically displays amenity reservation details based on the data point you select on an Amenities dashboard tile. From this grid, you can perform actions on an amenity reservation to complete pending steps in the amenity reservation workflow, such as approving, denying or canceling a reservation. Click the Actions button in the row corresponding to the amenity reservation on which you want to perform an action. Click the Add Reservation button to create new amenity reservations for residents, applicants, and non-residents or to block out times when amenities are unavailable.

Description

Unit

The unit for the resident who reserved the amenity.

Resident

The name of the resident who reserved the amenity.

Amenity

The amenity type and amenity of the type that is reserved.

Reservation #

The amenity reservation number. A Warning icon displays next to the reservation number if the reservation is past the Cancel By date. Hover over the Warning icon to view the message details.

Blockout #

(The Blockout column only appears when you select the Blockouts tile.)

The blockout record number for the amenity being blocked out.

Start/End

The date and time at which the amenity reservation begins and ends.

Duration

The amount of time for which the amenity is reserved.

Notes

(The Notes column only appears when you select the Blockouts tile.)

Details about the amenity blockout.

Charge

Voyager charge code and charge description for the reservation fee or deposit.

When more than one charge applies to the reservation, the number of charges displays in lieu of the charge code. Clicking on the Charge field expands into a sub-table to view, edit, and post the reservation charges directly from the grid.

Total Pricing

The total fee to reserve the amenity.

Created

The date on which the charge was added for the amenity reservation.

Posted

The date on which the charge was posted to the resident's ledger for the amenity reservation.

Actions

Actions you can perform for the amenity reservation. The available actions depend on the pending amenity reservation step. Options are as follows:

  • Agree Opens the Agree window for acknowledging acceptance of the terms and conditions.

  • Add Charge Opens the Add Charge to Reservation [Number] screen for adding fees and deposit charges to the amenity reservation.

  • Edit Charge Opens the Edit Charge to Reservation [Number] screen for editing the notes on the amenity reservation charge.

  • Post Charge Opens the Post Charge screen for posting the amenity reservation charge to the resident's ledger.

  • Post All Charges Opens the Post Charges [Count] for posting all amenity reservation charges to the resident's ledger.

  • Complete Opens the Complete window for marking the reservation complete.

  • Cancel Opens the Cancel Reservation window for canceling the reservation.

  • Deny Opens the Deny Reservation window for denying the reservation.
