The All Charges step is a key part of the prospect-to-applicant workflow in CRM IQ. This article explains how the screen works, why it sometimes confuses agents, and how charges behave based on system configuration and user actions.
π Overview of the All Charges Screen
The All Charges step is divided into three sections:
Application Charges
Move-In Charges
Monthly Charges
Each section contains columns like:
β Include
π’ Charge Code
π Description
π¬ Status
π΅ Amount (either One-Time Charge or Recurring Charge depending on the section)
Additional columns such as Charge Date and Post Month may appear based on user permissions.
𧩠How Charges Behave Based on Configuration
Each charge has properties defined during system setup that affect how users can interact with them.
β Required Charges
If a charge is required, the Include checkbox is checked and disabled.
All fields in that row are non-editable.
βοΈ Modifiable Charges
If a charge is modifiable, users can edit the amount and the description.
This applies to one-time and recurring charges depending on setup.
π Recurring Charges
Recurring charges appear in the Monthly Charges section.
Their prorated amount appears in the Move-In Charges section.
Example:
Monthly Rent = $1000
Move-In Rent (prorated for 29 days) = $967
Both rows show, but one is prorated.
πΎ Example: Recurring + Modifiable Charges
If a recurring charge (e.g., Pet Rent) is also modifiable:
It wonβt appear in the Monthly section until you enable it in the Move-In section.
Once selected in Move-In, it becomes visible in Monthly and editable.
This logic ensures agents intentionally activate recurring charges through the move-in process.
π‘ One-Time Charges
Appear only in the Move-In Charges section.
Selecting them does not affect the Monthly section.
If modifiable, agents can edit the amount before saving.
π Access Limitations
Fields like Charge Date and Post Month may be hidden or locked based on user permissions.
Users with limited access may not be able to modify charges or dates.
π οΈ Posting Application Charges
When the user lands on the All Charges step for a Prospect, clicking Save and Post will:
Post the Application Charges (not move-in or monthly)
Change the status to Applicant
Important:
The Move-In Date must be on or after the Apply Date to post charges. If not, you'll get an error like:
"Desired move-in date must be on or after the apply date."
π After Posting: Additional Options Appear
Once the prospect becomes an applicant, new options appear:
β Add/Edit Concessions
β Create Charge
β»οΈ Reset Charges
π³ Create Receipt
Reset Charges:
Clears all Move-In and Monthly Charges (does not affect Application Charges)
Returns values to default, useful for troubleshooting and reconfiguring charges
β οΈ Real-World Scenarios: Common Confusion
π Modifiable Recurring Charges Not Showing Up?
Confirm the agent has selected the charge in the Move-In section first.
This unlocks visibility and editing in the Monthly section.
πΆ Pet Rent Setup Mismatch
If the policy is $25 per pet but only one unmodifiable row exists:
Agents canβt add two charges.
Solution Make the charge modifiable so the agent can change it to $50 for two pets, or create non-modifiable charges for all potential pet fee scenarios.
π¦ After Screening Approval
If screening recommends additional charges (e.g., a higher security deposit):
CRM IQ does not auto-apply charges based on screening results.
Agents must manually apply these charges, depending on company policy and system setup.
Agents have two main options:
β Use a pre-configured charge in the Move-In Charges section
If an additional security deposit charge already exists and is modifiable or non-modifiable, the agent can use it to enter the required amount.
β Create Charge
If no suitable charge row is available, and company policy allows, agents can manually add a new one-time charge (e.g., for the additional deposit).
This option is available only if the agent has the necessary permissions.
π§ͺ AI + All Charges = Better Troubleshooting
Many support cases involve confusion between:
What users expect based on policy
What the system is configured to do
This is a great opportunity for AI to help:
Ask clarifying questions (e.g., βIs the pet charge modifiable?β)
Determine if it's a setup issue or user misunderstanding
β Key Takeaways
Required = pre-checked, locked
Modifiable = editable amount and description
Recurring = appears in Monthly only if activated via Move-In
Reset Charges is your best friend for starting fresh
